Job Description: BASIC FUNCTION:
Assists the Accounting Manager/Business Office with general ledger, account analysis, accounts payable duties and provides administrative support to the Vice President for Administration/CFO.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Assists in correspondence provided by the Vice President for Administration/CFO and Associate VP for Finance/Controller. Edit and proof documents to ensure accuracy. Assists with the preparation of presentation materials. Establish, maintain, process and update files and records including reading file book and day file.
- Serve as the point of contact for incoming correspondence including Screening incoming mail, telephone calls and visitors and use discretion to respond on own initiative, redirect to the Vice President's subordinates, or to the Vice President for Administration/CFO, as appropriate.
- Assist Vice President for Administration/CFO in maintenance of the daily calendar
- Assists in the cash disbursements process.
- Reconcile main bank account monthly.
- Performs vetting and data entry of vouchers.
- Summarize and reconcile monthly cash disbursements to general ledger.
- Assist with the detail processing of invoices (i.e. gas card, bookstore, property taxes, utility, worksheet etc.
- Prepare and analyze various general ledger accounts.
- Conduct research as required in support of the Business Office in general.
OTHER DUTIES AND RESPONSIBILITIES:
- File documents and update files periodically.
- Assist members of the Business Office with various clerical tasks (reconciliation, large mailings and other projects).
- Assist the Accounting Manager and Assistant Controller with the processing of general ledger entries.

The incumbent is not substantially exposed to adverse environmental conditions.
Job Requirements:College experience is preferred with at least three years of accounting/bookkeeping experience, preferably in a higher education setting. Demonstrated knowledge of entire MS Office Suite of software including Word, Excel spreadsheets and accounting software is required. Strong oral and written communication and interpersonal skills are required with the ability to serve a diverse university population. Must have strong organizational skills with attention to detail. Must be able to work independently as well as part of an office team. Must be able to handle difficult clients/students. Confidentiality is of the utmost importance.
